Client boundaries
reply times and hours

Say when you reply and what belongs where. Then keep to it.

19 October 20262 min read

Online clients can message at any hour. Without limits, your day has no edge.

State your reply time

Pick a window such as one working day. Put it in the agreement and in your welcome message.

Say what goes where

  • Training numbers go in the log.
  • Weekly feedback goes in the check-in.
  • Quick questions go in a message.

Set working hours

Choose the hours you reply. Turn notifications off outside them.

Say what is urgent

For pain or injury, tell the client to see a medical professional. Your messages are not an emergency service.

Keep to it

A promise you do not keep teaches clients to chase you. Reply inside the window, even if only to say you will answer fully tomorrow.

Review it

If you often miss the window, you may have too many clients. Check how many you can serve.

Where Trainersight fits

Trainersight puts replies against the set or check-in they relate to, which keeps messages short.
