Check-ins at scale
sort first, then reply

Thirty check-ins a week need a routine. Sort them, then reply.

19 October 20262 min read

One check-in takes five minutes to read and answer. Thirty take two and a half hours unless you have a routine.

Fix the day and the form

Ask every client to send it on the same day. Use the same short form each week so answers can be compared.

Sort before you reply

Read all of them first and give each a flag.

  • Red: pain, missed sessions, very low sleep or very high effort.
  • Amber: one measure is off.
  • Green: nothing flagged.

The check-in scorer turns four answers into a flag. Reply to red first.

Reply in two tiers

Green clients get a short reply with one specific note about their week. Red and amber clients get a personal reply and a question.

Block the time

Put the review in your diary at the same time each week. Set a number of minutes for each client and keep to it.

Know your limit

If review runs past the time you set aside, you are near your limit. Count it before you take another client.

Where Trainersight fits

Trainersight ranks your clients by who needs you this week, with the reason beside each name.
