Running a weekly check-in
with online clients

A check-in is a habit before it is a form. Set the day, keep it short and always reply.

The check-in template covers the questions. This guide covers the routine around them.

Pick one day

Send it on the same day each week, after the client's last session. Fresh sessions make for better answers.

Keep it to two minutes

Every extra question loses some clients. Cut any question whose answer you do not act on.

Set a reading time

Block a fixed slot to read replies, such as Monday morning. Reading as they arrive splits your day into pieces.

Reply every time

A short reply is enough. Say what you changed, or say that nothing needs changing.

Chase once

  1. If a client has not replied by the next morning, send one short message.
  2. If they miss two in a row, ask how the week is going outside training.
  3. Do not send reminders every day. They get ignored.

Look across weeks

Read this week beside the last three. A pattern across weeks is worth more than any single answer.

Where Trainersight fits

Trainersight takes the weekly review in the app. It sits with that week's sessions, so you read both together.
